Privacy
What we collect, and what we do with it.
A transparency company should have a privacy policy a person can actually read. This is ours.
Updated October 17, 2026. Applies to shortlistspeakers.com and to the emails and text messages we send.
Who we are.
Short List Speakers is operated by At The Helm, Corporation, doing business as Short List Speakers, with a mailing address at 455 Market St, Suite 1940, PMB 627763, San Francisco, CA 94105-2448. Questions about this policy go to connect@shortlistspeakers.com.
What we collect.
From organizers
When you ask us to send you new listings, we collect your name, email address, the organization you book for, your role, and the topics you book for. When you request a speaker, we collect the details of that request, including your event date and anything you write in the request.
From speakers
When you request to be listed, we collect your name, email address, your website address and your LinkedIn profile address if you provide them, your city and state, and what you say you speak on. When you complete a listing, we collect everything the listing shows: your topics, formats, fees by format, travel policy, what is included and what costs extra, what the talk supports, a short first-person paragraph, a photograph, and the groups you have spoken to with the contact details of the organizers who booked you. If you work with an agent, we collect the agent's name and email.
About speakers, from organizers
After a booking, we survey the organizer who booked the speaker. We collect their answers, including a Net Promoter Score and written comments, and we attribute them to the speaker on the speaker's listing.
Automatically
Our website runs on HubSpot, which sets cookies and records how visitors use the site: pages viewed, links clicked, the device and browser used, and an approximate location from your IP address. We also use Google Analytics to understand site traffic, and advertising tags described under Advertising. Visitors in the EU, EEA, and UK are asked before any of these load; everyone else can turn them off. Either way, Cookie settings at the bottom of every page lets you change your choice.
What we do with it.
- Publish speaker listings. Everything a speaker puts on their listing is published on this site, on purpose. That is the product. A speaker confirms their listing is accurate when they submit it. We review every listing before it goes live, and any change we recommend goes to the speaker for approval first. Once it is live, we email the speaker a link to review it, and they can ask us to change or remove it at any time.
- Publish verified feedback. An organizer's feedback about a speaker is published on that speaker's listing. We publish the score and the comments. We do not publish the organizer's name or email unless the organizer asks us to.
- Send you what you asked for. New listings in your topics, replies to your questions, and the emails that follow a form you submitted. Every marketing email carries an unsubscribe link, and unsubscribing takes effect immediately.
- Run the service. Contacting speakers about requests, contacting organizers to collect feedback, billing verified listings, and answering correspondence.
- Understand the site. Aggregate usage data tells us which pages work and which do not.
- Advertise. Show our ads on platforms such as LinkedIn and Google to people who visited the site or are in our records, and measure how those ads perform.
Who we share it with.
HubSpot stores our contact records and runs this website and our email. Our payment processor handles listing fees; we never see or store card numbers. We share a speaker's listing with everyone, because it is public. Our team reviews organizer requests and coordinates next steps. When sourcing possible speakers, we use an anonymous event summary. We share an organizer’s name, organization, or contact details only with their permission, for the speakers and purpose covered by that permission. Permission may be given explicitly on a request form; if it has not been given for the intended sharing, we ask first. A general request is not broadcast to speakers. We advertise on platforms such as LinkedIn and Google. To do that, we use their advertising tags on this site, and we may send them a hashed (one-way encoded) version of the email addresses in our records so we can show our ads to, or leave them out for, people we already know. Advertising, below, explains how this works and how to opt out. We do not sell personal information.
Advertising.
We run ads on advertising platforms such as LinkedIn and Google to reach event organizers and speakers. Two things are involved.
Advertising tags. Small pieces of code on this site that let each platform record visits to our pages. The platforms use this to report how our ads perform and to let us show ads to groups of people who have visited. They show us totals and audience sizes, not who visited.
Matched audiences. HubSpot can send an advertising platform a hashed version of the email addresses in our contact records. The platform matches them to its own accounts so we can show our ads to people already in our records, or leave them out. The platforms do not tell us who matched.
How to opt out.
- Email connect@shortlistspeakers.com and we will remove you from our advertising audiences on every platform we use.
- Use Cookie settings, at the bottom of every page, to turn off advertising cookies on this site. If your browser sends a Global Privacy Control signal, we turn them off for you.
- Manage your ad preferences in each platform's own settings.
How long we keep it.
A speaker's listing stays published for as long as the speaker keeps it. Feedback stays on a listing for as long as the listing exists. Contact records for organizers and speakers who have asked to hear from us stay until they unsubscribe or ask us to delete them. We keep billing records for as long as the law requires.
Your rights.
You can ask us what personal information we hold about you, ask us to correct it, ask us to delete it, and ask us to stop using it for marketing. Write to connect@shortlistspeakers.com and we will answer within 30 days. If you are a California resident, the California Consumer Privacy Act gives you these rights in law, along with the right not to be treated differently for exercising them. Our advertising, described above, can count as "sharing" personal information for cross-context behavioral advertising under the Act. You can opt out at any time with Cookie settings at the bottom of every page or by emailing connect@shortlistspeakers.com, and we treat a Global Privacy Control signal from your browser as a request to opt out. We do not sell personal information.
A note on feedback: an organizer's feedback about a speaker is the organizer's statement, published with their consent. If a speaker has a concern about feedback we collected, they can ask us to take another look, and we will follow up with them and keep a record of the outcome. We do not remove feedback because a speaker would prefer it were not there.
Text messages.
We offer two optional text message programs, Short List Speakers Text Alerts and Short List Speakers Account Texts. We text only people who opt in, and nothing in this policy changes for anyone who does not. We do not share mobile numbers or text-message opt-in consent with any third party, other than the providers and aggregators that deliver the messages. How we handle mobile numbers and text-message consent is set out in our SMS Privacy Notice, which supplements this policy, and in the Text Alerts Terms and Account Texts Terms.
Children.
This site is for people who book and give business talks. It is not directed at anyone under 18, and we do not knowingly collect information from anyone under 18.
Changes.
If we change this policy, we change the date at the top and, for anything material, we email everyone on our lists before the change takes effect.
